Talent Operations Coordinator, North America


The Role

Prophet’s biggest asset is our people, and it is the responsibility of our People Team to ensure that we attract and develop the right talent. Reporting to the HR benefits manager, you will provide on-the-ground support and general assistance to our HR and Payroll specialists and Talent Integration team. Desired candidates must be experienced in HR administration or related fields of work or study. You must be professional, organized and highly articulate, with the ability to build relationships with colleagues at all levels within the business. Prophet is a global firm and this position, while based in Richmond, will be responsible for activities focused across the whole North American region.

At its core, the talent operations coordinator is a proactive problem solver and client service agent whose mission is to create lasting value for our employees and help deliver against Prophet’s Employee Value Proposition (EVP).  The talent ops coordinator also serves as a “greeter” and friendly face of the firm for new employees joining Prophet. They will communicate company policy and position details to new hires before their start date and gather the necessary information to prepare for day one. This role reports directly to the NA HR benefits manager and works closely with our Talent Integration team on new hire setup and introduction to Prophet.   • Welcome and guide new hires through their first few weeks at the firm
  • Initiate/finalize onboarding processes for new hires in all HR management systems
  • Coordinate meetings and help drive engagement to keep our employees connected in this new virtual working environment
  • Liaise with Learning & Development team to ensure new hires complete their starter menu of learning modules
  • Collaborate with Talent Integration team to incorporate employee and facilitator feedback into improvements to new hire programming
  • Verify HR docs/set up employee files
  • Review benefits/policies with all new hires

HR/Benefit policies

  • Develop/maintain policies and company handbook.
  • Analyze market trends and complete competitive benchmarking studies on employee perks and benefits programs
  • Identify gaps or improvements in current benefit policies and packages to meet the holistic wants/needs of our high-growth firm
  • Assist HR manager in obtaining statistics and information in the renewal process of any healthcare, life and retirement plans that benefit the company
  • Deal with employees’ inquiries/issues and provide support and guidance as required with strict confidentiality
  • Oversee and monitor various leaves of absences
  • Perform a variety of other administrative duties and work on ad hoc projects as assigned


  • Assist employees with initial/annual benefit enrollments and/or life status changes; ensure benefits changes are entered appropriately in the payroll system for payroll deduction
  • Manage and reconcile COBRA enrollments/payments
  • Assist in auditing invoices for carriers; verify benefit invoices for changes and accuracy
  • Manage Flexible Spending Accounts
  • Update HR Systems with all employee changes
  • Backup for semi-monthly payroll processing
  • Assist HR Manager with YE compliance audits and completing other benefits reporting requirements


  • Experience working in a professional environment ideally in human resources capacity or interactive customer service role
  • Excellent communication skills, both verbal and written.
  • Ability to manage and execute assignments with competing priorities
  • Experience in a fast-paced environment, with limited supervision, where speed and quality are equally important
  • Fine-tuned organizational and time management skills
  • High level of focus and attention to detail and accuracy
  • Strong working knowledge of computer applications, such as but not limited to: Microsoft Office: Word, Excel, PowerPoint, Outlook and SharePoint
  • Undergraduate degree required; other professional degrees or certifications are a plus
